Overview
Pembina U.S. Corporation is recruiting for a Sr. Administrative Assistant to be based at the Aux Sable NGL Extraction and Fractionation Facility located in Channahon, Illinois. This position reports to the General Manager, Operations in the Natural Gas Liquids Business Unit (NBU), part of Pembina’s Facilities Business Division.
Responsibilities
Reporting to the General Manager, but also supporting the on-site Sr Leadership team, the Sr. Administrative Assistant role encompasses all aspects of coordination and administrative support. The primary areas of responsibility include, but are not limited to:
⦁ Provide effective admin support to the GM and Site Sr Leadership Team;
⦁ Manage business calendars and email for General Manager and Sr. Manager;
⦁ Attend meetings as requested, take meeting minutes, and follow up on action items;
⦁ Providing support for preparation of monthly management reports and Business Unit presentations
⦁ Arrange travel and reconcile monthly expense reports;
⦁ Coordinate GM meetings and events which includes planning and organizing materials, presentations, booking meeting rooms, venue selection and set up, and food and beverage coordination;
⦁ Field inquiries and provide assistance to employees and external customers as required;
⦁ Contribute insight, ideas, and opinions while participating in team meetings and projects;
⦁ Collaborate with Corporate Admin’s as required;
⦁ Act as the primary back up for receptionist coverage during all absences (including vacation);
⦁ Other tasks and projects as assigned.
Job Qualifications
- Minimum 8 years of administrative experience preferably in a plant or industrial environment; and High school diploma; and preferably Post-Secondary Education in Business Administration
- Effective written and verbal communication skills including a proven ability to interface positively with internal and external stakeholders;
- Excellent working knowledge of MS Office and demonstrated aptitude working with other business-related computer programs and applications (SAP);
- Exceptional written and verbal communication skills, which include the ability to prepare reports, format documents, and draft official letters and correspondence.
- High level of professionalism and demonstrated ability to work with sensitive and confidential matters;
- Strong organization and time management skills along with a keen eye for detail and accuracy;
- Independent worker and self-starter with highly developed resourceful problem solving and decision-making skills.
