Overview:
Pembina Pipeline Corporation’s Calgary office is recruiting for a Senior Assistant, Administration to join the team. This position reports to the Vice President of Supply Chain.
Guided by Pembina's values, Supply Chain collaborates across the Organization ensuring that all supply chain activities are executed with the highest standards of ethics and integrity and are in strict adherence to Pembina’s policies. Supply Chain delivers strategic value to the organization by optimizing technology for material acquisition, inventory carrying, transportation, and planning costs.
Responsibilities may include but not limited to:
- Manage business and personal calendars, provide daily reminders of meetings and preparations required to ensure accurate, effective, and efficient use of time, schedule conference calls, take meeting minutes and follow up on action items;
- Provide administrative services, including, but not limited to arranging travel, monthly expense reports, and maintaining accurate and efficient filing system that meets departmental requirements;
- Coordinate meetings which include planning and organizing materials, presentations, booking meeting rooms, venue selection and set up, and food and beverage coordination;
- Screen incoming calls, emails and correspondence while maintaining a professional, courteous, and friendly demeanor;
- Contribute insight, ideas, and opinions while participating in team meetings and projects;
- Participate in budget preparation, actual variance analysis and monthly forecasting;
- Complete provisioning requirements for employee and invoicing contractors, as well as contract end dates for invoicing contractors;
- Participate in the promotion of employee engagement together with the leadership team;
- Provide support in planning team building and leadership offsite;
- Other tasks and projects as assigned;
- Coordinate invoicing endorsement and approval for Aviation and Fleet categories, including review and correction of supporting documentation, and vendor follow-up;
- Manage Fleet Pool booking for Calgary head office vehicles, which include scheduling and arranging maintenance services;
- Provide miscellaneous fleet related support;

Qualifications:
- Minimum 10 years of progressive senior level administrative experience;
- Post-secondary education with preference given to those with a Legal Assistant Certificate/Diploma or Bachelor’s Degree in Business Administration, Finance or Commerce;
- Advanced skills in all MS Office (Excel, Word, PowerPoint) products, along with working knowledge of SAP;
- Experienced at preparing reports, formatting documents, and drafting official letters and correspondence;
- High level of professionalism and demonstrated ability to work with sensitive and confidential matters;
- Positive and friendly customer service approach coupled with exceptional communication skills (both oral and written);
- Excellent organization and time management skills along with a keen eye for detail and accuracy;
- Independent worker and self-starter with highly developed resourceful problem solving and decision-making skills;
- Demonstrated resiliency and sound judgment in dealing with business and corporate challenges; and
- Flexible with being able to work occasional overtime.
